    EDI Implementation Guide

    Step-by-step guide to planning, deploying, and optimizing your EDI infrastructure.

    Phase 1: Assessment & Planning

    A successful EDI implementation starts with understanding your requirements. This includes auditing your current trading partner relationships, identifying which documents need to be exchanged, and evaluating your existing ERP or business systems for integration readiness.

    • Inventory all current and planned trading partners and their EDI requirements.
    • Map your business processes to identify which documents to automate first.
    • Assess your ERP system's EDI capabilities and integration options.
    • Define your connectivity strategy: VAN, AS2, SFTP, or API.
    • Establish a realistic timeline and budget with contingency planning.

    Phase 2: Partner Onboarding & Mapping

    Each trading partner has specific requirements for how EDI documents should be formatted. This phase involves obtaining trading partner specifications, creating EDI maps that translate between your internal data format and the partner's required format, and testing those maps thoroughly.

    • Obtain companion guides and specifications from each trading partner.
    • Create data maps for each transaction set and partner combination.
    • Configure communication protocols and security certificates.
    • Set up test environments for each partner connection.
    • Document all mapping decisions and exception handling rules.

    Phase 3: Testing & Validation

    Testing is critical for EDI success. Every map and connection must be validated against trading partner requirements before going live. This includes syntax validation, business rule testing, and end-to-end transaction testing.

    • Perform syntax validation against X12 or EDIFACT standards.
    • Test against each trading partner's specific companion guide requirements.
    • Execute end-to-end tests with actual trading partner test environments.
    • Validate ERP integration for data accuracy and completeness.
    • Document test results and obtain partner sign-off before production.

    Phase 4: Go-Live & Optimization

    Once testing is complete, you transition to production. Post-go-live monitoring is essential to catch and resolve any issues quickly. Ongoing optimization includes adding new trading partners, automating exception handling, and expanding to additional transaction types.
